Short answer: Save the evidence before submitting the payout. Capture the account identifier and stage, dashboard eligibility, request amount, balance, qualifying-day or consistency state, full trade history, the rules in force, identity-verification status, tax form, payment method, and bank-name match. Keep original files and screenshots with timestamps; never crop away context or alter records.
A useful review packet answers five questions:

Topstep's current payout policy is a concrete example. It says approval reviews payout-policy requirements, prohibited conduct and professional behavior, and prohibited trading strategies. Its internal approval estimate is one to three business days, separate from the payment rail's delivery time. A request can therefore be eligible by arithmetic and still need an integrity, identity, or payment review.

Do not rely on a single screenshot of the payout button. The useful record is the chain from trading activity to eligibility calculation to request confirmation.
1. Record the exact account and review path
Write down the firm, account ID, product, size, stage, and payout path. “50K funded account” is not enough when the same firm has Standard and Consistency paths or both simulated and live stages.
For a current Topstep example, an Express Funded Account Standard request uses five winning days of at least $150 plus positive net profit since the prior payout. The Consistency path instead uses at least three trading days and a 40% consistency target. A Live Funded Account has its own cycle. Save the path shown in the dashboard rather than reconstructing it from memory.
Include the submission trading day. Topstep says the day on which a payout is requested does not count toward the next cycle. A request submitted after 5:00 PM Central belongs to the next trading day, so the timestamp can explain a day-count difference later.
2. Capture the eligibility calculation and post-request state
Before submitting, save:
- current account balance;
- eligible payout amount shown by the dashboard;
- qualifying-day count or consistency calculation;
- largest day and total profit when consistency applies;
- current Maximum Loss Limit or protected balance;
- gross request, expected trader share, and payment fee;
- projected balance after the request.
Use the payout-buffer worksheet to calculate the gross request and the profit-split calculator to estimate the trader share. Those calculations help explain the request, but the firm's dashboard and approval remain controlling.
Take a second screenshot after submission. It should show the request status, amount, method, and timestamp. If the platform immediately deducts the amount, preserve both the before and after balances.
3. Export the full trading record, not selected winners
An integrity review may need to reconstruct position size, order sequence, fill timing, news exposure, copied trades, or simulated-fill behavior. Save the complete available history for the payout cycle instead of selecting only favorable rows.
Recommended fields are:
- order creation, modification, cancellation, and fill timestamps;
- symbol and contract month;
- side, size, average fill, and realized P&L;
- working orders and partial fills;
- platform or connection used;
- copier source and destination accounts, when applicable;
- outage, rejection, or disconnect evidence tied to a specific time.
Topstep's current prohibited-strategy guidance identifies deliberate program exploitation, unfair technology, trading outside real-market behavior, and certain maximum-size news-event behavior as hard stops. Its prohibited-conduct policy also covers price exploitation, external or slow data feeds, account stacking, identity masking, coordinated trading, and account sharing. Save enough context to answer a precise question truthfully; do not manufacture a narrative before the reviewer asks one.
4. Match identity, tax, geography, and payment details
Check the legal name on the prop-firm profile against the payment destination. Topstep says payouts cannot go to a third-party bank account. It requires a W-9 for U.S. persons and a W-8BEN for non-U.S. persons as part of the payout process.
Record:
- legal name exactly as submitted;
- IDV completion or re-verification status;
- citizenship and permanent-residency information used for eligibility;
- tax form type and submission status;
- payment-provider account email when the method requires one;
- bank-account ownership and the last four digits only in your private packet;
- currency and destination country.
Do not publish identity documents, tax forms, full bank numbers, or private support correspondence. Keep the packet private and provide only the items the firm's authorized review team requests through its official channel.
Topstep's eligibility guidance says geography can affect whether a trader may receive an Express Funded or Live account and warns that trading from an ineligible location can trigger Trust review. If travel or residency is relevant, preserve dated, truthful location and residency evidence rather than attempting to obscure it.
5. Separate approval time from delivery time
“Instant payout” can describe movement after approval, not the review itself. Topstep currently estimates internal approval at one to three business days. After approval, its listed delivery times vary by method: Aeropay may be instant for a supported U.S. bank, ACH and Wise are listed at one to three business days in their eligible regions, and international wire or SWIFT is listed at five to ten business days.
Create a timeline with four separate events:
- request submitted;
- internal approval completed;
- payment provider received the instruction;
- funds settled in the destination account.
If a request appears late, this timeline tells you whether the question belongs to the prop firm, the payment provider, or the receiving bank.
What to do when a review asks for more information
Reply in the same official thread and answer the exact question. A compact response packet should include:
- account ID and payout request ID;
- a one-sentence issue summary;
- a chronological list of relevant events in the firm's timezone;
- the requested original export or uncropped screenshot;
- the rule URL and the time you verified it;
- a clear label for anything you cannot independently confirm.
Do not open repetitive tickets, threaten a chargeback, edit screenshots, or post private correspondence publicly. Topstep's professional-behavior policy specifically flags excessive support contacts, chargebacks, public posting of private correspondence, and falsified images. Its Trust guidance says to reply directly to the assigned team member with supporting information when an appeal is available.
A private folder structure that stays usable
Use a stable folder name such as:
