Bought a Prop-Firm Account? Save These Records Before Trading

Archive the transaction, account specification, accepted rules, billing clock, and written clarifications before the first order changes the evidence.

The practical answer: before the first trade, save a complete purchase packet containing the receipt, final checkout, accepted agreement, exact account specification, applicable rule pages, billing terms, and any written support clarification. Put the files in a dated folder and record the account ID without exposing it publicly.

The timing matters. Current firm policies do not treat the first trade the same way. Purdia says an account that has not been traded may be eligible for a reviewed refund, while trading generally consumes that option. Tradeify says its purchases are final regardless of whether the account has been traded, with a separate support process when a promo was not applied. Those are firm-specific examples—not a universal refund rule—but they show why the evidence packet should exist before activity begins.

The seven-record purchase packet

1. Final checkout and payment result

Save the final checkout screen after the code or promotion has been applied. It should show the firm, product, account size, platform choice, subtotal, discount, taxes if any, and total paid. Also save the payment-success screen.

Do not rely on the banner that brought you to checkout. The payable total is the useful record. If the promotion did not apply, stop before trading and use the firm's official billing channel. The promo-code checkout checklist covers that narrower problem.

2. Receipt or invoice

Download the firm-issued receipt rather than preserving only a card statement. Tradeify's current billing guidance says its downloadable receipts include the Transaction ID, Order ID, date, and amount for account purchases, activation fees, and other payments.

Name the file with the firm, product, and purchase date. A useful pattern is firm-product-YYYY-MM-DD-receipt.pdf. Keep the original file unchanged.

3. Exact account identity and stage

Record the account name or ID, product, nominal size, platform, and current stage. Separate evaluation, simulated funded, and live funded. A generic note such as “50K funded” is not enough when the same firm has multiple products and stages with different drawdowns, payout rules, resets, or fees.

Include the activation time and the first date the account is usable. Tradeify says its futures accounts normally activate instantly, but purchases during its reconciliation window can be delayed. A timestamped confirmation prevents the payment time, activation time, and first trading session from being blurred together.

4. Rules and agreement accepted at purchase

Save the product card, the complete applicable rule page, the terms or trader agreement, and any checkbox language shown at checkout. Use a PDF or full-page capture that includes the URL and capture date. Saving only a cropped paragraph removes the product and stage context that makes a rule meaningful.

Purdia's current purchase guidance says program terms are defined on the account card and in the agreement. Its terms also incorporate operating rules and say posted terms may change. That combination makes the purchase-time record important even when the firm says the structure bought is the structure traded.

If a rule page and agreement disagree, do not choose the more favorable wording yourself. Ask official support which document controls for the specific account and save the reply before trading.

5. Billing, reset, activation, and refund clock

Write down each charge that can occur after the initial payment:

  • one-time purchase or recurring subscription;
  • next renewal date and time zone;
  • reset price and whether a reset moves the billing date;
  • activation or funded-stage fee;
  • platform or market-data charge;
  • cancellation method and cutoff; and
  • refund terms before and after the first trade.

Use not published when the firm does not state a term. Do not turn an omitted fee or deadline into a promise that it does not exist.

6. Eligibility and verification requirements

Save the current rules for age, country or residency, identity checks, payment ownership, household limits, device or IP restrictions, and account ownership. These controls can apply beyond checkout.

Tradeify's current compliance guidance says review can occur at registration, purchase, activation, verification, trading, progression, payout, or a transition to live trading. Purdia's current terms describe household, payment, compliance, and account-ownership controls. The exact requirements differ, so save the pages that apply to the firm and account you actually bought.

Never put identification documents, full card details, credentials, or a complete private account export in a public folder. The packet can list where sensitive evidence is stored without duplicating it.

7. Written clarifications and change notices

If support resolves an ambiguity, save the entire conversation with the ticket number, timestamp, sender, question, and answer. Preserve later rule-change notices in the same folder without overwriting the original purchase packet.

A support answer should identify the exact product and stage. “Yes, that is allowed” is weak evidence if the question, account type, and effective date are missing.

Use a simple folder structure

Create one folder per purchase:

  1. 01-checkout-and-receipt
  2. 02-account-and-platform
  3. 03-rules-and-agreement
  4. 04-billing-and-refund
  5. 05-support-and-changes

Add a one-page index with the purchase date, activation date, account stage, document filenames, and outstanding questions. Keep a private encrypted backup. Do not edit screenshots or original exports; annotate copies if you need to highlight a section.

Run the pre-trade mismatch test

Before placing the first order, compare the packet with the live dashboard:

  1. Does the dashboard show the product, size, and platform you selected?
  2. Do profit target, drawdown, daily loss, position size, and stage match the saved rules?
  3. Does the charged amount match the final checkout and receipt?
  4. Is the next renewal or expiration date what you recorded?
  5. Are the payout path and verification requirements attached to the right stage?
  6. Did support answer every material contradiction in writing?

If any answer is no, pause and contact the firm's official support channel. Trading first can make a billing, refund, or scope question harder to unwind.

What this packet does not prove

  • It does not guarantee a refund, payout, reinstatement, or exception.
  • It does not override an agreement or a later rule that validly applies to the account.
  • A marketing screenshot does not replace the final checkout or accepted terms.
  • A community post does not establish the rule for your product.
  • A support reply about one account does not automatically apply to another stage or purchase cohort.

The packet gives support a precise record to review. It also helps you identify a mismatch before trading turns a purchase question into an account-performance dispute.

Bottom line

Save the transaction, the account, and the rules as one dated record before the first trade. The minimum useful packet is the final checkout, receipt, account specification, accepted agreement, full rule pages, billing calendar, and written clarification for anything that does not line up.
