How to Cancel a Prop-Firm Subscription Before It Renews

Identify every renewal, cancel the exact subscription, and keep proof that billing actually stopped.

The practical answer: identify every charge that can renew, cancel the exact subscription through the firm's official billing control, and save proof before the published cutoff. Then return to the billing page and verify that the account shows canceled or no future renewal. Removing a card, breaching an account, stopping trading, or sending a support message is not a reliable substitute unless the firm's current policy explicitly says it ends billing.

Start at least one business day before the displayed renewal. Topstep says renewal processing happens early on the rebill date. Other firms use a same-calendar-date renewal or a 30-day cycle. A midnight assumption can be expensive when the policy, dashboard, and card processor use different timing.

The seven-part cancellation record

Before clicking anything, capture:

  1. the firm, product, account size, and account number;
  2. whether the charge is one-time, monthly, every 30 days, or a manually renewed add-on;
  3. the next renewal date and the time zone shown;
  4. the current account state, including active, passed, failed, or breached;
  5. the subscription or invoice ID tied to that account;
  6. the cancellation path and warning shown before confirmation; and
  7. the confirmation page, email, and final billing status after cancellation.

Do this for each account. Topstep currently says other active Trading Combines keep rebilling after one Combine passes, even though the passed account's own subscription auto-cancels. A dashboard can contain several separate subscriptions under one login.

Step 1: Confirm whether there is a renewal to cancel

Do not infer recurring billing from the word “evaluation.” Current purchase models differ by firm and purchase cohort.

A one-time product can still have a time limit, inactivity rule, reset fee, activation charge, or separately billed add-on. “No renewal” does not mean “no deadline” or “no additional cost.”

Step 2: Match the charge to the exact account

Write down the subscription, invoice, or account identifier before cancellation. If the billing page lists several similar 50K accounts, compare the creation date, product path, and next charge. Do not cancel by memory.

Save a screenshot that shows the subscription-to-account relationship without exposing full payment-card details. If the dashboard does not show which charge belongs to which account, ask support to identify the mapping in writing before taking an irreversible action.

Step 3: Read the cancellation consequence before confirming

Cancellation can end more than billing. Current first-party policies describe different consequences:

  • Topstep says a canceled Trading Combine subscription cannot be reactivated, and that subscription can no longer be reset.
  • Top One Futures says cancellation permanently closes an active evaluation and cannot be reversed.
  • My Funded Futures says a canceled legacy evaluation remains active through the current billing cycle, but it is no longer eligible for a reset after cancellation.
  • Tradeify says current purchases are one-time, while older subscription accounts remain active until canceled.

The controlling rule is the policy for your product and purchase cohort. Save the warning screen because it may state whether access ends immediately, at the end of the paid cycle, or after another event.

Step 4: Use the official cancellation control

Use the firm's documented dashboard path whenever it is available. Topstep currently directs traders to the Billing page, where the user selects the cancellation control beside the subscription and confirms. Top One Futures directs users to Members Area → Billing → Subscriptions. My Funded Futures directs users to Billing → Manage Subscription → Cancel Subscription.

Do not rely on these substitutes:

  • deleting or replacing a payment card;
  • allowing a payment to fail;
  • breaching or abandoning the account;
  • assuming a pass ended every other account;
  • turning off a trading platform connection; or
  • sending an email without a cancellation confirmation.

A failed payment may trigger retries, close access, or create a past-due state. That is not the same evidence as a completed cancellation.

Step 5: Save a three-layer proof packet

Keep three records together:

  1. Before: the active subscription, account mapping, renewal date, and displayed charge.
  2. Action: the cancellation warning and the submitted confirmation.
  3. After: the canceled status, absence of a future renewal, and confirmation email or case number.

Name the files with the account suffix and timestamp, then save the page as a PDF or full-page capture if possible. Keep the receipt from the last successful payment. The objective is to show what was scheduled, what action was taken, and what the dashboard displayed afterward.

Step 6: Verify again before and after the old renewal time

Return to the billing page after the confirmation email arrives. Confirm that:

  • the intended subscription is canceled;
  • another subscription was not left active;
  • no next-renewal date remains for that account;
  • the account-access result matches the warning you accepted; and
  • any add-on or data subscription is handled separately.

Check once more after the former renewal date passes. Preserve the bank or card statement showing whether a new charge appeared. If the dashboard still shows a future charge, contact the firm immediately inside an official channel and attach the confirmation—not sensitive payment credentials.

Step 7: Escalate a disputed rebill with the record, not assumptions

If a charge posts after documented cancellation, open one billing case with the account, subscription or invoice ID, cancellation timestamp, confirmation, disputed charge, and one requested remedy. Ask the firm to identify the policy and system record that controlled the charge.

Do not threaten a chargeback as the first message. Firm terms can impose account consequences for payment disputes, and the right external path depends on the contract and jurisdiction. Preserve the evidence and obtain appropriate advice before using a bank, regulator, or legal process.

A 60-second final check

  • Every recurring account is listed.
  • The next charge and date are captured.
  • The subscription is matched to the correct account.
  • The access/reset consequence is understood.
  • The official cancellation control was completed.
  • Confirmation was saved outside the dashboard.
  • Billing was rechecked after cancellation.
  • The former renewal date is on a follow-up calendar.

Bottom line

A prop-firm cancellation is complete only when the correct subscription is identified, the official action is confirmed, and the billing page no longer shows the old renewal. Save the before, action, and after states. That three-part record prevents most ambiguity and gives support a searchable case if a disputed rebill still appears.
